These Terms and Conditions ("Terms") govern your use of the Report Hero website and application (the "Service"). By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, you must not use the Service.

1. About Report Hero

Report Hero is an online service designed to support teachers with drafting school report text more efficiently, while protecting pupil data and supporting UK data protection requirements.

The Service is operated by Report Hero Ltd, a company pending registration in England and Wales. Company registration details will be added once registration is complete.

2. Changes to these Terms

We may update these Terms from time to time. Any changes will be posted on this page and the "Last updated" date will be revised.

By continuing to use the Service after changes are published, you agree to the updated Terms. If you do not agree with the revised Terms, you should stop using the Service.

3. Accounts

To use Report Hero, you must create an account and provide accurate, complete information.

You are responsible for:

Keeping your login details secure
All activity carried out under your account

Accounts are for individual use only. Sharing an account or allowing multiple people to use a single account is not permitted.

You must notify us immediately if you believe your account has been accessed without authorisation.

4. Subscription, free trial, and payment

Free trial

New accounts include a free trial with 20 report generations, allowing you to try the Service before upgrading. No payment details are required for the free trial.

Paid subscription

Report Hero is offered as an annual subscription only. Pricing is shown on our website at the point of purchase.

Subscriptions:

Are billed annually
Auto-renew at the end of each annual period unless cancelled
Can be cancelled at any time via your account settings

Cancelling stops future renewals but does not automatically trigger a refund.

5. Money-back guarantee

If you upgrade to a paid subscription, you are covered by a 5-day money-back guarantee.

If you cancel within 5 days of payment, you may request a full refund. After this period, refunds are not provided and access will continue until the end of the subscription term.

6. Fair use and acceptable use

Report Hero is designed to support normal report-writing workloads.

Fair use is defined as use consistent with:

Creating reports for approximately 30 pupils, up to three reporting periods per academic year

You agree not to:

Use the Service in an excessive, automated, or abusive way
Attempt to bypass safeguards or generation limits
Share accounts between multiple individuals
Attempt to interfere with or reverse-engineer the Service or AI systems

We reserve the right to suspend or terminate accounts that breach this clause.

7. Use of AI and limitations

Report Hero uses AI to assist with drafting report text.

You acknowledge that:

AI-generated content may contain errors or inaccuracies
The Service is a drafting aid, not a replacement for professional judgement
You remain responsible for reviewing, editing, and approving all report content before use

Report Hero does not guarantee the accuracy, completeness, or suitability of AI-generated content.

8. Data protection and privacy

Your use of the Service is subject to our Privacy Policy, which explains how personal data is collected, stored, processed, and protected.

In summary:

Pupil names are automatically anonymised before AI processing
All data storage and AI processing take place within the UK
Teachers retain control over their data and can delete it at any time

9. Intellectual property

The Service, including its software, design, and functionality, is owned by Report Hero Ltd and protected by intellectual property laws.

Your content:

Any report text or materials you generate using Report Hero remain your property. Report Hero does not claim ownership of content you create.

You may use, export, and modify your generated content freely.

10. Suspension and termination

We may suspend or terminate access to the Service, without prior notice, if:

These Terms are breached
The Service is misused or used beyond fair use
Account security is compromised
Continued access poses legal or operational risk

Upon termination, access to the Service will end and stored data may be deleted.

11. Limitation of liability

To the maximum extent permitted by law:

Report Hero Ltd will not be liable for indirect, incidental, or consequential losses
We are not responsible for decisions made based on AI-generated content
Our total liability to you, for any claim arising from use of the Service, is limited to the amount you paid to us in the 12 months preceding the claim

Nothing in these Terms limits liability where it cannot be limited under UK law.

12. Indemnity

You agree to indemnify and hold harmless Report Hero Ltd against claims, losses, or damages arising from:

Your misuse of the Service
Your breach of these Terms
Your use of generated content

13. Third-party services

The Service may rely on third-party services (for example, payment providers or email delivery services). We are not responsible for third-party services beyond what is required to provide Report Hero.

14. Force majeure

We are not liable for failure or delay in performance caused by events outside our reasonable control, including but not limited to natural disasters, system outages, or governmental action.

15. Governing law and jurisdiction

These Terms are governed by the laws of England and Wales.

Any disputes arising in connection with these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
